The Specialist Skin Clinic provides service to its patients, subject to the Terms and Conditions outlined below. It is important to read these carefully before making an appointment with us.

1. APPOINTMENTS

The Specialist Skin Clinic provides service to its patients, subject to the Terms and Conditions outlined below. It is important to read these carefully before making an appointment with us.

  1. Our Clinical staff at The Specialist Skin Clinic, comprising Doctors, Nurses, Laser practitioners and Therapists, are trained and approved in compliance with our treatment protocols. There may be times when your treatment will be undertaken by a different practitioner from the one you met at your initial assessment.
  2. On booking, and as part of our electronic appointment reminder system, we advise you by text and /or email of your forthcoming appointment time and date. You can, of course, specifically request that we do not contact you in either manner (see Privacy Policy).
  3. We ask that you advise us in accordance with our notice periods (see below) of any prospective non-attendance.
  4. Please arrive for your FIRST appointment with our Clinic at least 15 minutes in advance so that a Medical Information Form can be completed.
  5. Ordinarily, first consultation appointments last between 15 and 30 minutes. Patient lateness impacts on the time available for examination, discussion, advice and treatment planning. Prompt attendance is therefore crucial.
  6. If you are late, this can result in less available time for your treatment, or even a forfeiting of the appointment. We will make all efforts to ensure that your appointment runs to time.
  7. There may be times when we need to rearrange your appointment, sometimes at short notice. In those circumstances, we will make every effort to contact you in advance.
  8. Some treatments need minor preparation by you in advance of the appointment. Please ensure that you follow your Practitioner’s guidance in this regard, otherwise it might result in a shorter treatment time, or even a postponement of the treatment.
  9. If you are not able to make your appointment, please telephone us immediately on 02920 617690, preferably at least 48 hours before your appointment is due, where practicable. Failure to do so if it is your first appointment could result in the loss of your pre-payment – see below.
  10. Please ensure that if you bring a child with you to the Clinic when you have your appointment, that there needs to be another adult to chaperone the child whilst you are being treated.
  11. There may be occasions when a patient requires a repeat prescription. To issue a prescription we will require up to date information regarding the response to previous treatment. Requests for repeat prescription should be e mailed to the Specialist Skin

2. PREPAYMENTS ON BOOKING

  1. To secure a first consultation appointment with The Specialist Skin Clinic, a prepayment is required.
  2. Where a prepayment is made, we ask that any balance payable upon attendance at the Clinic for treatment is paid for using the same debit/credit card.
  3. The first consultation appointment, a prepayment of £45 or £150 will be charged at the time of booking, in order to secure the appointment. This will be offset against the final cost payable on attendance.
  4. For patients with acne issues, an Acne Clinic consultation costs from £120 to £350, this includes two follow up/review appointments. If blood tests are required during your consultation, these cost an additional £50. A prepayment of £45 will be charged at the time of booking, with the balance payable at the first appointment. Should the patient not proceed with prescribed medication, then a £120 will be charged for the consultation.
  5. If the consultation appointment is with a Consultant Dermatologist, a prepayment of £150 will be charged at the time of booking, in order to secure the appointment. This payment will be offset against treatment cost when that takes place. If no treatment is decided upon, then the £150 will represent the stand-alone consultation cost, and no refund of that prepayment, in those circumstances, can be offered.
  6. If cosmetic treatments are sought by a new patient, and they would like the treatment to be performed on the same day as the initial consultation, in certain circumstances the full treatment price will be charged as a prepayment ( e.g. Anti wrinkle injectables – £250)
  7. If a full treatment Miradry or Coolsculpting appointment is booked, the prepayment charged is £150. This will be offset against the final cost payable on attendance for treatment. The full payment must be paid on the day prior to commencing treatment. If you wish to cancel, we require 72 hours’ notice, failing which, the prepayment will be forfeited. If you wish to postpone, we ask 72 hours’ notice to avoid forfeiture of the prepayment.
  8. If a full Cellfina treatment is booked, the prepayment charged is £250. This will be offset against the final cost payable on attendance for treatment. The full payment must be paid on the day prior to commencing treatment. If you wish to cancel, we require 72 hours ‘notice, failing which, the prepayment will be forfeited. If you wish to postpone, we ask 72 hours’ notice to avoid forfeiture of the prepayment.
  9. The treatments specified in f) and g) require considerable clinical preparation, lengthy appointment times and often the input of more than one practitioner. A cancellation of such an appointment impacts dramatically on Clinic management, and therefore necessitates a strict cancellation policy.
  10. A prepayment of £150 will be charged for any treatment in the Clinic lasting in excess of 1 hour. If you wish to cancel, we require 48 hours’ notice, failing which, the prepayment will be forfeited. If you wish to postpone, we ask 48 hours’ notice to avoid forfeiture of the prepayment.
  11. A free of charge 15 minute appointment will be offered for laser hair removal and tattoo assessments. A prepayment of £45 is payable if you are booking for a 30 minute assessment and treatment on the same day.
  12. Prepayments will be redeemed against the cost of treatment when the treatment takes place. They cannot be redeemed against the cost of products purchased.
  13. If a regular patient fails to attend a standard appointment AND fails to advise us of her/his inability to attend, they will be required to pay the treatment cost in advance of their next appointment.
  14. If a regular patient postpones his/her appointment, and advises us of this with 48 hours’ notice of the appointment, they will be permitted to make such alterations on two occasions within a current course of treatment.
  15. On a third postponement/alteration, they will be required to pay the treatment cost in advance of that appointment
  16. If a patient fails to attend a treatment appointment, and fails to advise us of their inability to attend, we reserve the right to charge them for the missed treatment cost or prepaid treatment session.
  17. If, after an initial consultation where a prepayment has been paid, the patient makes no further contact with the clinic, and six calendar months have elapsed, we reserve the right to allocate the prepayment to the cost of that initial consultation.
  18. A “prices from” guide for each treatment is available on our website. This is a guideline only. An exact assessment of cost of treatment will be provided once you have been examined, and the type and extent of treatment ascertained by one of our Doctors, nurses or therapists.
  19. The final payment for each treatment is ordinarily made at the end of the treatment session, on the day of the appointment, with the exception of f and g and h above.
  20. A prepayment will not be refunded under any circumstances after a patient has received a consultation.
  21. We take payments by Credit, Debit or Amex cards, cash and cheque.

3. TREATMENTS

  1. All treatments purchased as a course must be paid for in full in advance of the first treatment. Please ask your practitioner, who will advise you about the percentage discounts attributable to these courses of treatments.
  2. For a course of multiple treatment which is prepaid with a discounted price, refunds of unused treatments will be calculated based on the undiscounted individual prices of each treatment and will only be provided within 12 months of the original date of payment.
  3. All treatment courses (except tattoo removal, where the limit is 24 months) must be taken within 12 months of the date of purchase; any treatments remaining after 12 months will be forfeited.
  4. Our Practitioners will always assess whether treatment is suitable for you and the condition to be treated, or likely to be successful, prior to any treatment being carried out. We will provide you with advice if the treatment is unsuitable, so that you understand why.
  5. In that situation only, you would be liable only for the cost of the initial consultation – which ordinarily means that the prepayment paid will represent the cost of the consultation time.
  6. There may be variations to this term if the initial consultation is a medical one, rather than a cosmetic one.

4. OTHER ISSUES

  1. Please ensure that you provide The Specialist Skin Clinic with all relevant medical details prior to each treatment. We will not be liable for any damage that occurs as a result of your failure to disclose such information.
  2. By consenting in writing where relevant, and upon the receipt of aftercare advice, you must comply with all instructions and/or recommendations given to you by the clinic regarding the care of a treated area. Nothing in these terms of business shall exclude or limit the clinic’s liability for death or any personal injury resulting from the clinic’s negligence.
  3. We cannot be held responsible in contract or tort for financial loss or any other damages arising out of the provision of services and goods to you, the patient. This section covers any claim against services other than the delivery of health care.

5. COMPLAINTS

  1. We strive to treat all our patients with fairness, due consideration and with compassion. If, however, you have concerns about any aspect of your treatment with us, you are entitled to lodge a complaint.
  2. We have a formal Complaints procedure, and we can provide you with a guidance document, which will advise you how to complain, and how the matter will be dealt with. If you require assistance with making your complaint, we will be pleased to help.

6. USE OF GIFT TOKENS / VOUCHERS

  1. Gift Vouchers are non-refundable and cannot be exchanged for cash or further gift vouchers in any circumstances. They are valid until the expiry date shown.
  2. We will not accept the voucher if it has been damaged, altered or tampered with in any way.
  3. Vouchers for a specific Clinic promotion or special offer cannot be used towards another treatment or product.
  4. Please quote the gift voucher number at the time of booking. You are under no obligation to use the full voucher during one session or treatment, and if the treatment or product purchased is of a lower value than the value of the voucher, change will not be given, however you can obtain a credit for the remainder towards future treatments or products. The remaining credit must be used prior to the voucher expiry date.
  5. If upon making a booking, you then fail to show up for your appointment without first advising the Clinic, the Clinic reserves the right, at its discretion, to prevent the voucher from being used in future to the value of the treatment booked but not honoured.
  6. If, upon making a booking, you then need to cancel the appointment in less than 48 hours of the due time, and to re-arrange the same, this will only be permitted twice. Otherwise you forfeit the use of the voucher to the value of the treatment booked but not honoured. Exclusions will apply for Cellfina, Coolsculpting and Miradry treatments, (see sections F, G and H in the prepayment section)
  7. If your voucher is of a value less than the cost of the treatment/product, you may of course pay any excess by debit/credit card, cash or cheque in the usual way.
  8. The Specialist Skin Clinic reserves the right to change these Terms and Conditions at any time, without notice, and to take appropriate action, including the cancellation of the voucher if it deems such action necessary.
